Mastering Admin as a Business Owner Time Management, Tools
Being a business owner means being a jack of all trades, even if you don’t know it. After all, you’re running your own business, selling a product you devised and created. You even come up with your own marketing materials. You’ve got a lot of skills to your name!
But there’s one skill you’re not quite a master in, and that’s the ability to organize. Keep records, and fill out the paperwork. And that’s starting to become a bit of a problem for you.
Because whether or not you’re happy to hire someone to get the bulk of the admin work out of the way. You do need to be able to understand the problem AND stay compliant at all times. You need to be able to do this off of your own back, without someone else needing to intervene.
And if that’s the kind of worry in the back of your mind right now. We’ve got some tips for you to check out.
Break the Day into Blocks
If it’s an admin day, where you spend most of your working hours going over the records. Sure everything lines up, we recommend breaking it down into blocks.
A block is simply a period of time, which can be anything from 10 minutes to 20 minutes to an hour or even 2.
Blocks make it a lot easier to focus on one task without feeling overwhelmed by everything else you have to do. You’re simply dealing with one thing at a time, and doing so without going over your time limit.
That way you won’t have to panic about running out of chances to get those emails answered. Those invoices paid, or those tax records submitted.
Use Some Online Tools
They’re out there, are free to use (mostly), and can be accessed whenever you need them. So why not turn to them when paperwork is giving you a headache?
For example, a handy margin calculator is available. Whenever you need to quickly break down your profit and loss for the month.
That’ll make keeping your accounts updated and creating a suitable, relevant budget for the month a whole lot simpler.
Refine Your Customer Service Voice
Someone who communicates in a polite, respectful, and friendly way is always going to be prioritized over someone who refuses to put this effort in.
And it doesn’t matter who you’re talking to here, whether you’re speaking to a client, a business partner, or someone you’re keen to network with.
Never go into an interaction without a smile, a quick and simple introduction, and a clear want to do everything you can to support or connect with the other person. Even if you make a mistake that needs rectifying, or you need a bit more time, when you have a good customer service voice, you’re much more likely to get what you need. When admin skills are holding you back, focus on your time management, communication, and head online!
